An afternoon gathering centered around henna artists and music. Typically held poolside or in a garden setting, with a casual buffet and dhol players arriving for the last hour.

The celebration evening before the wedding. Family performances, choreographed dances, a DJ or live band, and a dinner that runs late into the night. The energy in the room is unlike anything else on the schedule.

The groom’s procession — a moving party that travels from the resort entrance to the ceremony venue, led by a dhol drummer and surrounded by dancing family. The moment the whole week builds toward.

Pheras

The main wedding ceremony performed under a mandap, led by a Pandit. Typically 90–120 minutes. We coordinate the Pandit travel, sacred fire permit where required, and mandap construction with the resort team.

Reception

The formal celebration dinner. Grand entrance, first dances, full dinner service, and a DJ set that carries the night. Décor is typically the most elaborate of the week — the room should feel like nothing guests have ever walked into before.

Some can, some can’t. It depends on the resort’s pathway configuration, any local ordinances about animals on the property, and whether the resort has done it before. We confirm this before recommending a property. Several of our go-to resorts for South Asian weddings have established Baraat routes and the required permits already in place.

We negotiate a catering rider as part of the group contract. This specifies the vegetarian and Jain menu items to be available at each event. Most resorts can execute this with sufficient advance notice — typically 90 days or more. We review the proposed menu before it’s finalized and follow up directly with the banquet team if changes are needed.

We coordinate the Pandit’s travel and accommodation as part of the overall planning process. For Mexico and the Caribbean, most Indian-American Pandits travel regularly for destination ceremonies. The resort needs to provide a short vendor form, which we handle. Ceremonies involving fire (a sacred flame for Pheras) require advance notice to the resort — we manage that conversation.

Most resorts start paying close attention at 50+ rooms. For South Asian weddings, we typically see guest counts between 80 and 300. The room block size is what drives your negotiating leverage — on pricing, on outside vendor access, on venue buyout terms. Larger groups get more flexibility on all three. We’ve successfully negotiated strong contracts for groups as small as 50 guests when the event structure is right.

Yes, with proper outside vendor agreements signed with the resort. Most resorts charge a day-pass fee per vendor; others waive it when the vendor stays as part of the group. We clarify this upfront and factor it into your overall budget estimate. Most resorts provide large groups with multiple free rooms, which can be used for vendors to avoid outside vendor fees.
